POSITION SUMMARY

 

This permanent, full-time position reports to the Director of the Traditional Knowledge and Language Sector; to provide efficient and effective administrative; organizational; coordination support.

 

DUTIES AND RESPONSIBILITIES:

 

  • Greet public, direct calls and respond to inquiries in a professional manner.
  • Work in a team effort with staff and volunteers of the Interpretive Centre.
  • Assist with computer record databases for the Interpretive Centre accession, membership, and monetary donations.
  • Prepare the Interpretive for opening to the public, maintain security, and secure facilities at closing.
  • Ensures availability of merchandise and services by reviewing current contracts, and maintaining inventories.
  • Assist with the development of computer generated signs, lists and exhibit labels.
  • Execute sales of Interpretive Centre gift shop items.
  • Assist with the special event set up needed for programs, open houses and tours.
  • Information/documents management and Purchase Order initiation/process management.
  • Coordinate incoming/outgoing mail, courier and faxes.
  • Coordinate travel arrangements; bookings and payments.
  • Perform the necessary housekeeping functions in workspace and exhibit areas.
  • Procure office supplies and equipment and coordinate repairs and maintenance.
  • Coordinate and provide clerical support service for internal staff meetings, board meetings, committees, etc., including booking and preparation of facilities, arrangement for refreshments/meals, the preparation of agendas and minutes, and the preparation of Board correspondence
  • Compose correspondence, including drafts of financial and/or other reports as requested.
  • Compile data/manuals related to operations, policies, and procedures.
  • Arrange and participate in, conferences, meetings and other events as directed.
  • Other duties as assigned by the Director.

QUALIFICATIONS:

  • Post secondary Diploma (ie business or general administration) preferred
  • Minimum 2-3 years related experience; preferably in a First Nation environment
  • Excellent written and verbal communication skills
  • Demonstrated proficiency in Microsoft Word, PowerPoint, Excel, etc.
  • Very strong interpersonal skills
  • Demonstrated ability to lead multiple priorities/projects of a significant scope in a fast-paced environment 
  • Work both independently or as part of a team when required
  • Strong organizational skills, critical thinking skills and keen attention to detail
  • A proven ability to prioritize work and meet deadlines 
  • Honest, respectful and trustworthy
  • Possess cultural awareness and sensitivity
  • Flexible; able to work evenings and weekends on occasion
  • Demonstrate sound work ethics
  • Driver’s license and reliable transportation.
  • Knowledge and awareness of Ktunaxa culture, language and traditions
